Managing stock on a product
A product's Stock tab (in the product editor or popup) is where its quantities live. You can reach it fast via Inventory › Product edit — scan or pick the product and the editor opens.
What the tab shows
- Units — stock type (pcs, kg, …), weight and volume, and the unit class (Other / Kilograms / Litres) for weight-based selling.
- Packaging — quantity per box, pallet quantity, specified order quantity.
- Stock thresholds — stock quantity alert (low-stock bell) and stock best-before date alert (days ahead to warn about expiry).
- Current stock — one row per location/shelf: default-location marker, quantity, warehouse, shelf and best-before date.
- Coming to stock — quantities on order from suppliers (arrival date, warehouse, shelf, new prices, best-before).
- Stock transfer — pending transfers involving this product.
- The detailed flow link opens the stock diary — every movement, in or out, with its reason and date.
Changing stock by hand
Edit an existing row
Click the quantity in the Current stock table — an inline editor asks for the new quantity and a reason (see below). The difference is written to the stock diary with that reason, so the movement history stays honest.
Add stock with the Add stock row
The Add stock form at the bottom of the tab:
| Field | Meaning |
|---|---|
| Quantity | Positive to add, negative to remove. |
| Reason | Grouped Stock in / Stock out — pick the real reason. |
| Location / Shelf | Where the stock is (a location is required; the shelf list follows the location). |
| Best before date | For perishables — per stock row, not per product. |
| Coming-to-stock date | Fill these fields to record expected stock instead of actual. |
| New buy / sell price | Optional price update that lands with this stock. |
Reasons matter
Stock movements are always stored with a reason, and reports group by them. Typical reasons: purchase (automatic from purchase orders), sale (automatic from POS/orders), stock transfer A2B (automatic from transfers), breakage, sample, free gift, used/showroom, adjustment/increase, food making. Use the reason that matches reality — breakage and increase are different lines in your stock diary report.
Rules of thumb
- Buying in stock? Use a purchase order — it updates prices, suppliers and coming-stock automatically (see Purchase orders & receiving stock).
- Moving stock between warehouses? Use a stock transfer, not two manual edits (see Stock transfers & adjustments).
- Manual edits are for corrections, wastage and small things — always with a reason.
- Set the quantity alert and best-before alert so low stock and expiring items surface in stock alerts on their own.
