The product editor, tab by tab
Every product is edited on the same form, whether you open it from the Product list, the Product grid popup, or the quick stock workspace (Inventory › Product edit). Along the top you have Cancel (resets the form) and Update (saves everything); a check-mark button next to the product name also saves. If you try to leave with unsaved changes, the system warns you first.
The editor has eleven tabs.
Preview
A live product-card preview, plus a profit margin strip showing the current margin percentage and amount (net selling price minus net purchase price) — green when positive, red when negative.
Settings
| Field | What it does |
|---|---|
| Published / Unpublished | Master visibility switch for the product. |
| Product label | The product name, one input per language (flag tabs). |
| Category | The product's category; the pencil icon opens category management. |
| Reference no. | Your own article number. The copy button copies it to the supplier reference. |
| Barcode format / Barcode / Box barcode | The main barcode, its symbiology, and the barcode of a full box/case. |
| Brand, Country of origin, CN8 code, Product tags | Classification fields, each with a pencil icon to manage the list. |
| Supplier / Supplier reference | Default supplier and their article number (copy button fills the reference). |
Below these sits the Multi-Price & Barcode Manager — extra rows with their own barcode, box barcode, purchase/selling price, discount, supplier, warehouse and scheduled validity (e.g. campaign prices for certain days and hours), plus three per-row checkbox chips (Lock discount, Ignore quantity discounts, Ignore BXGX) that control what the row's discount overrides. See Multi-code & pricing rows for how these rows work.
Price
- Selling price — enter either Net or Gross; the other is calculated from the sales VAT. A gross price after discount is shown when a discount applies.
- VAT — the sales VAT rate.
- General Discount — a plain percentage discount on the product.
- Special Discounts — either Buy One Get One (buy X get X free — both quantities must be filled, buy must be ≥ get) or Quantity discount tiers (min qty → discount as percent, total line price or unit price). When both a Buy One Get One campaign and a quantity tier apply to the same line, they are compared by effective discount and only the bigger one applies.
How these discounts compete with each other and with customer pricing is explained in Discount priorities.
Inventory costs
The purchase price (net/gross, linked to the purchase VAT) and up to 15 per-unit cost fields used in margin calculations:
- One-time costs per unit — customs fees, transportation, transit insurance, handling fees, inventory write-offs, packaging, returns management.
- Per-unit-per-day costs — warehousing, handling labour, shrinkage, administrative overheads, utilities, taxes on inventory, marketing and promotion, financial costs.
Leave a field empty if it doesn't apply; enter 0 to explicitly mark a cost
as zero.
Stock
Units of measurement (stock type, weight, volume), box and pallet quantities, order-multiples, stock thresholds (quantity alert and best-before alert), and the stock tables themselves — current stock per location/shelf (editable inline), coming stock from purchase orders, pending transfers, and the stock diary. See Managing stock on a product.
In the Add stock section, the New buy price / New sell price fields never overwrite the product's own prices: a price that differs from the product's current one is kept as a location-bound multi-code row (only the changed column is filled) when the product is saved — both for stock that arrives immediately and for coming stock you later mark as received. See Multi-code & pricing rows — Prices from stock adding.
Bottle deposit
Links a deposit product (e.g. a 0.40 € bottle deposit) to this product. When the product is sold, the deposit can be added as its own line. Search for the deposit product, or clear the link with Clear deposit.
Bundle
Turn Enable Product Bundles on and add child products with their quantities. The bundle's tile in the grid lists its children; the Bundle Total Value shows the sum of the children's prices.
Web APP details
- API Visibility — three switches: B2C WordPress (webshop), B2B App and Inventory Manager. These control where the product is visible outside the admin.
- Short description — per-language rich text shown in the webshop.
- Details sections — optional titled sections (also per-language rich text) for longer descriptions, specs, etc. Sections can be reordered, duplicated and deleted.
Delivery
Package dimensions (width/height/length in cm) and, if the item is shipped, its own delivery/shipping methods — add methods with the Add delivery or shipping method button; each method has an editable title and can be reordered, duplicated or deleted.
Media
The image gallery: existing images are listed, new ones can be dragged onto the upload zone (multiple at once), and you can add a YouTube video link.
Activity log
The product's full history: edits, stock changes from purchase orders, transfers, wastage, POS sales and API updates, price and discount changes. (Requires the view product logs permission.)
Multi-language inputs
Fields that exist per language (product label, short description, detail sections) show a flag tab per published language. Each input has a small dropdown with Copy to other languages and Translate using the configured translation provider — handy when you maintain several languages.
